Customer Service Rep

As a Customer Service Representative, you will provide industry-leading customer service to our customers.

Looking for energetic, dependable, customer oriented representative for order entry, answering customer questions and billing inquiries with the highest degree of courtesy and professionalism to offer complete customer care. Due to the technical nature of our products, experience in the Propane, HVAC or Hearth business is a preferred.

Duties & Responsibilities

  • Excellent communications skills both written and verbal maintaining strict professionalism in all customer correspondence

  • Ability to effectively deal with the demands and expectations of a high-paced, high-volume operation

  • Answers customer requests or inquiries concerning equipment, products, promotions and billing - ability to take full responsibility, from start to finish

Accounts Receivable/Credit Manager

Full Time, Direct Hire Opportunity with local company for an A/R and Credit Manager. Must have experience in an Accounting Office. Pay 50-55K based on experience!

Credit Management

Maximize company’s cash flow:

      • Evaluate and process credit information for new and existing customers and determine payment terms
      • Closely monitor payments from customers, and maintain high 0-60 day receivable stats. Maintain a healthy, steady, constructive, creative dialogue with overdue accounts.
      • Release or hold pending orders and adjust payment terms as required
      • Provide credit information to fellow vendors when requested
      • Determine collectability of overdue accounts and submit to collection agency as required
      • Maintain dialogue with Customer Service & Sales Department pertaining to prospects and current accounts, as needed

Accounts Receivable

      • Execute daily invoicing and mailing (Canadian invoices on Fridays)
      • Send invoice copies and statements via e mail or fax, upon request
      • Invoice all web orders at the end of each day
      • Send daily e mail shipment notifications to retail accounts and web customers
      • Process Navision and Authorize.net, daily for domestic credit card orders
      • Process Navision and Moneris, weekly for Canadian credit card orders
      • Process manual credit card payments in Navision, Authorize.net and Moneris as required for domestic and Canadian customers
      • Run declined credit card routine daily and interface with customer and rep as needed.
      • Maintain financial records of credit card and PayPal transactions
      • Process bank deposits of check payments from domestic customers twice weekly
      • Process bank deposits of check payments from Canadian customers once weekly (or as required)
      • Maintain financial records of check payments
      • Contact overdue customers for payment as required
      • Investigate and evaluate validity of payment deductions and charge-backs and then issue credit memos as required
      • Communicate all charge backs and write offs so commissions and royalties can be adjusted.
      • Evaluate and process credit memos that have been prepared by Customer Service
      • Issue refunds to charge card accounts via Authorize.net, Moneris and PayPal as required
      • Investigate order deliveries and provide POD’s as required
      • Send daily credit card issue notifications in regards to customers’ accounts

SECONDARY RESPONSIBILITIES

Credit Management

      • Prepare weekly and monthly Accounts Receivable and collection reports, evaluate the aged receivables and maintain goals (share with Seth, Mitch and Caitlin)
      • Generate monthly reminder notices for overdue accounts
      • Perform year-end open credit clean up and follow-up
      • Discuss and write off questionable receivables in December
      • Compile required payment history as per legal requests for collection needs

Web Site

  • Field inquiries regarding credit card charges for orders placed on the web

CUSTOMER SERVICE

      • Act as back up for customers service department when necessary
      • Be involved and aware of customer service agenda
      • Maintain work load dialogue with Customer Service Manager

TECHNOLOGY

  • Very good to advanced computer skills including Excel and ERP systems.
  • Write and maintain all relevant How To Documents for the department

Guest Services Associate

We are currently seeking 1-2 Guest Service Associates for a local hotel in Pittsfield. Positions are full and part time, with some flexibility in schedule. Weekends are required, applicants who can work 2nd shift preferred. These positions are long term, temporary to hire opportunities. Currently offering a sign on bonus.

Job Description:

The Guest Services Associate will answer phones, assist customers with booking stays, take credit card payments and check guests in and out upon arrival or departure. Guest Services will also provide recommendations on activities, restaurants and local attractions. He or she will also be responsible for solving billing issues, restocking amenities in the lobby/common areas and the general upkeep of the front lobby.
